How we measure hours saved, honestly.

Every proposal promises time saved. Few teams can tell you, six months later, whether it actually happened. We think that is the single biggest reason AI budgets get cut.

Start with a stopwatch

Before we build anything, we sit with the people who do the work and time it. Not estimates in a spreadsheet — real tasks, on a normal day, including the interruptions.

  • Time at least ten runs of the task.

  • Write down where the work waits, not just where it moves.

  • Note who touches it and why.

Count the rework

Saved minutes mean little if someone has to fix the output afterwards. We track how often a person corrects an automated result, and we subtract that time from the savings.

If you can’t say how long it took before, you’ll never prove how long it takes now.

Report it monthly

A short monthly note — hours saved, corrections made, issues found — keeps everyone honest. It also makes the next budget conversation much easier.

Separate time saved from time freed

Saving forty minutes a day doesn’t mean the team gains forty minutes of useful work. Some of it disappears into meetings and context switching. We report both numbers: the time the task no longer takes, and what people say they now spend it on.

Watch the quiet costs

Every system has running costs that never appear in the first demo. We list them next to the savings, so the net figure is the one that gets reported.

  • Tool and API subscriptions.

  • Time spent reviewing or approving outputs.

  • Maintenance when a connected tool changes.

When the numbers don’t add up

Sometimes a workflow saves less than expected. That is useful information, not a failure. We simplify it, hand a step back to a person, or switch it off — and write down why, so the next estimate is better.

An honest small number beats an impressive guess every time.
